[Meetings] New meeting cadence and schedules

The organizers are evaluating a new APAC-friendly meeting cadence, and adjustment to the existing meetings. This will simultaneously add more attendance options, but also simplify management.

Proposal:

• Introduce a new "Hallway Track" or discussion-focused community call option,,
• "Hallway Track" format and community presentation formats will be on an alternating schedule.
• Introduce a new APAC cadence with the same meeting formats.
• APAC meeting formats will alternate with NA/EU tracks. (Hallway Track on NA/EU is same week as Presentation Track counterpoint on APAC)
• Presenters will not be expected to present at both timezones. (meetings are recorded)
• Initiative working meetings will be ad-hoc and scheduled by the Initiative contributors.

This format is to start in the new year (2026)

This proposal appears to be inclusive, allowing for better representation from different time zones and geographies.

I think the next steps would be to identify the days and times. I'd prefer a Tuesday and Thursday, morning & evenings. Talking about the times, I'm part of the ambassador team, and we have the following call times that we could use too:

• APAC: 07:30 / 08:30 IST (GMT +5:30) - Covers Australia, India, China, Japan, New Zealand and Taiwan
• US/EU: 19:30 / 22:30 IST (GMT +5:30) - Covers NA, EU, CA and Africa

This works for the Ambassador community, and we have a fair bit of participation in each of the calls, we could choose either of the timings.

Friday mornings could be done, maybe we can take a vote in the community and check.

But for timings, atleast from IST POV, 7-8 AM should work fine because a few folks I know (including me) have stand-ups and other calls in the morning.

We are in favor of the proposal presented at the beginning of this issue.
Running meetings across two different time zones has made it much easier for us to participate in the community, and we believe it is very inclusive.

For the APAC track schedule, @techmaharaj 's time proposal would work well for us as well.

Here are the new timings for the calls in 2026 as we discussed. We'll be trying this for Q1 and accordingly tweak it for the rest of the year. We'll create new meetings soon on Bevvy.
