Privacy Policy of Waterfall Bot

This Privacy Policy outlines how DevSeige Studios ("we," "us," or "our") collects, uses, and protects the information of users ("you" or "your") of the WaterfallBot Discord bot (the "Bot").

By using the Bot, you consent to the data practices described in this policy.

1. Information We Collect

We collect and process the following types of information to provide and improve the Bot's services.

a. Information You Provide Directly:

  • Server Configurations: We store server-specific settings that you or other server administrators configure. This includes:
    • serverID: To identify individual Discord servers.
    • prefix: The custom prefix for message commands.
    • language: The preferred language for bot responses and logs.
    • logs: Configuration for logging various server events, including channel IDs and webhooks.
    • warnThresholds: Custom warning thresholds set by moderators.
    • Bot Detection Settings: Configuration for automatic bot protection.

b. Information Collected Automatically:

  • User Data:
    • userID: Your unique Discord ID.
    • locale: Your preferred language/locale (e.g., "en", "it").
    • lastActive: Timestamp of your last interaction.
    • lastVote and lastVoteClaim: Timestamps related to bot voting.
    • AI Usage: Tracking daily /gemini image generations
  • User-Specific Data:
    • mail: In-bot messages sent to you.
    • read_global_mails: Global announcements you have read.
    • preferences: Personal styling preferences for the Bot.
  • Moderation & Security Data:
    • WARNS: Records of warnings issued.
    • Infractions: Detailed logs of moderation actions (warns, timeouts, kicks, bans), including reasons and moderator IDs. These are typically retained for 45 days.
    • Global User Infractions: Aggregated records of infractions across eligible community servers to identify repeat offenders or malicious bots.
    • Bot Detection Tracking: Temporary tracking of recently joined suspected spam/bot user's activity (message frequency, link/mention counts) for up to 2 hours to prevent spam.
  • Server Statistics (Analytics):
    • If enabled, we track anonymized message activity (date, channel ID, user ID) and voice session durations. Detailed activity logs are typically retained for 30-60 days.

c. Third-Party Integrations:

When you use certain commands, Waterfall interacts with third-party providers. We only share the minimum data necessary for these services to function:

  • Google Gemini (AI): Prompts, usernames, and a sample of server emojis may be sent to Google to provide AI responses.
  • Search Engines (SerpApi): Search queries are sent to providers like Google, Bing, Yahoo, Yandex, or DuckDuckGo to retrieve results.
  • Wolfram Alpha: Computational queries are sent to Wolfram Alpha.
  • External Meta-Data: We may perform lookups for GitHub repositories, Minecraft servers, OMDb (Movies/Shows/Games), or Wikipedia based on your input.

d. Aggregated and Analytical Data:

  • We collect anonymous, aggregated data to monitor usage:
    • commandsUsage: Count of command executions.
    • messages and interactions: Total volume of activity.
    • Win counts for game commands (RPS, Connect4).

2. How We Use Your Information

We use the collected information for the following purposes:

  • To Provide and Maintain the Service: To enable the Bot's features, such as custom prefixes, logging, moderation, and user-specific settings.
  • To Improve the Bot: To understand how the Bot is used, identify popular features, and guide future development.
  • To Provide Support: To assist you with any issues or questions you may have.
  • To Ensure Safety and Security: To enforce our Terms of Service and protect against abuse, spam, and other malicious activities.

3. Data Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to third parties. We may disclose information in the following limited circumstances:

  • As Required by Law: If we are required to disclose information by law, such as in response to a court order or other legal process.
  • To Protect Our Rights: To enforce our Terms of Service and other policies, and to protect the rights, property, and safety of ourselves and others.

4. Data Retention

We retain your data for as long as it is necessary to provide the Bot's services.

  • Server and User Data: This data is retained as long as the Bot is on a server you share with it. If you or a server owner requests data deletion, we will take steps to remove the relevant information.
  • Analytics Data: Aggregated and anonymized data may be kept indefinitely for statistical purposes.

5. Your Rights and Choices (GDPR)

We respect your right to control your data. Under the GDPR, you have the following rights:

  • The Right to Access: You have the right to request copies of your personal data that we hold.
  • The Right to Rectification: You have the right to request that we correct any information you believe is inaccurate or incomplete.
  • The Right to Erasure (The "Right to be Forgotten"): You have the right to request that we erase your personal data, under certain conditions.
  • The Right to Restrict Processing: You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • The Right to Object to Processing: You have the right to object to our processing of your personal data, under certain conditions.

6. Data Security

We are committed to protecting your information. We implement a variety of security measures to maintain the safety of your personal information. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.

7. Children's Privacy

Our services are not intended for children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information.
