Asana Implementation - Next Steps

This document outlines the immediate next steps for implementing Asana as our task management system.

Current Status

We have completed the planning and preparation phase for our Asana implementation. All necessary documentation and tools have been created:

  1. Setup Documentation: ASANA_ACCOUNT_SETUP.md

  3. Communication Templates: ASANA_INVITATION_EMAIL.md

Immediate Next Steps (This Week)

1. Create Asana Organization Account

Owner: Max Mustermann Timeline: Day 1

  • Navigate to https://app.asana.com
  • Create organization account using max@jurismind.de
  • Complete organization setup with name "SmartLaw Mietrecht"
  • Verify email address
  • Configure basic organization settings

2. Configure Organization Settings

Owner: Max Mustermann Timeline: Day 1-2

  • Set Time Zone to "Berlin"
  • Set Language to "English"
  • Configure security settings
  • Set up billing (free plan initially)

3. Create Initial Projects and Portfolios

Owner: Max Mustermann Timeline: Day 2

  • Create 4 main projects:
    • SmartLaw Mietrecht - Backend
    • SmartLaw Mietrecht - Web App
    • SmartLaw Mietrecht - Mobile App
    • SmartLaw Mietrecht - Infrastructure
  • Create 4 portfolios:
    • Q3 2025 Release
    • Technical Debt Reduction
    • Performance Optimization
    • Security Enhancements

4. Set Up Custom Fields

  • Create Priority field
  • Create Estimate field
  • Create Business Value field
  • Create Customer Impact field

5. Configure Workflow and Notifications

  • Set up status automation rules
  • Configure organization-wide notifications

Short-term Next Steps (Next 2 Weeks)

1. Team Invitations

  • Invite all team members using ASANA_TEAM_INVITATIONS.md
  • Assign appropriate roles (Admin/Member/Guest)
  • Track invitation acceptance using ASANA_INVITATION_TRACKING.md
  • Send follow-up communications as needed

2. Training and Onboarding

Owner: Max Mustermann Timeline: Week 2, Day 3-5

  • Schedule introduction meeting
  • Prepare training materials
  • Conduct hands-on training session
  • Create pilot tasks for practice

3. Verification and Support

  • Verify all team members can access Asana
  • Confirm project access permissions
  • Test collaboration features
  • Provide support for any issues

Risk Mitigation

Technical Risks

  • Issue: Difficulty creating organization account
    • Solution: Contact Asana support team
  • Issue: Problems with custom field setup
    • Solution: Use Asana's built-in fields temporarily

Team Adoption Risks

  • Issue: Low invitation acceptance rate
    • Solution: Send personalized follow-ups
  • Issue: Resistance to new system
    • Solution: Emphasize benefits and provide hands-on support

Timeline Risks

  • Issue: Setup taking longer than expected
    • Solution: Focus on core features first, add advanced features later

  5. Conduct a post-implementation review
