After you complete initial setup, you can begin creating and managing eDiscovery cases in the Microsoft Purview portal. Each case serves as a secure workspace that brings together related investigation tasks such as searches, holds, review sets, and exports. Cases help isolate and track the details of a specific legal, compliance, or security matter.
2+
3+
Before using the investigation tools, you need to create a case. From there, you can organize, manage, and monitor case activity in the Microsoft Purview portal.
4+
5+
## Create a case
6+
7+
Creating a case gives you a dedicated environment for your investigation. You must have the correct eDiscovery permissions to perform this task.
8+
9+
To create a case:
10+
11+
1. Go to the [Microsoft Purview portal](https://purview.microsoft.com?azure-portal=true) and sign in as a user with eDiscovery permissions.
12+
1. Select **Solutions** > **eDiscovery** to go to the **Cases** page.
13+
1. Select **Create case**.
14+
1. Enter a **Case name** and optional **Case description**.
15+
1. Select **Create**.
16+
17+
:::image type="content" source="../media/create-ediscovery-case.png" alt-text="Screenshot showing case creation in Microsoft Purview eDiscovery." lightbox="../media/create-ediscovery-case.png":::
18+
19+
After the case is created, the user who created it is automatically added as a member. Members can access the case and complete tasks based on their assigned roles.
20+
21+
## View and organize existing cases
22+
23+
Once you create a case, it appears on the **Cases** dashboard. This dashboard shows all existing cases across your organization, along with details such as:
24+
25+
- Case name
26+
- Status (Active, Closed, and other states)
27+
- Type (Standard or Premium)
28+
- Created and modified timestamps
29+
- Last modified by
30+
- Optional case number and description
31+
32+
You can adjust the dashboard to meet your needs. Choose which columns to show, apply filters based on case type or status, group by properties such as last modified user, and export the full case list as a `.csv` file.
33+
34+
To prioritize a case for quick access, mark it as a favorite by selecting the star icon next to its name. The correct terminology is **marking as a favorite**, not pinning.
35+
36+
## Use Security Copilot to summarize a case (preview)
37+
38+
Security Copilot provides a summary of case activity using AI-generated natural language. This helps you review case progress without navigating every tab.
39+
40+
You can use it to:
41+
42+
- Review status updates and outstanding tasks at a glance
43+
- Prepare for case meetings or reporting
44+
- Identify priorities based on recent actions
45+
46+
Copilot summarizes key areas, including:
47+
48+
- Case information such as creation date, status, and last modified user
49+
- Data sources included in the investigation
50+
- Searches, holds, and review sets
51+
- Exports and case-related jobs
52+
- Case settings like optical character recognition (OCR) and near-duplicate detection
53+
54+
:::image type="content" source="../media/ediscovery-security-copilot-summary.png" alt-text="Screenshot showing Security Copilot being used in an eDiscovery case." lightbox="../media/ediscovery-security-copilot-summary.png":::
55+
56+
Security Copilot is available to users assigned the **eDiscovery Administrator** or **eDiscovery Manager** role. It must be enabled in your environment. Select **Summarize this case** to generate or refresh the summary in the Copilot pane.
57+
58+
## Manage case settings
59+
60+
Each case includes settings for metadata, access, and investigation behavior. To update settings, open the case and select **Case settings**. You can:
61+
62+
- Edit the name, number, or description
63+
- View the license level for the case (Standard or Premium)
64+
- Manage access for users, role groups, and guests
65+
- Configure advanced features such as OCR or analytics
66+
67+
:::image type="content" source="../media/ediscovery-case-settings.png" alt-text="Screenshot showing Security Copilot being used in an eDiscovery case." lightbox="../media/eediscovery-case-settings.png":::
68+
69+
You can also close or delete a case from this area.
70+
71+
- Closing a case turns off all holds associated with it. A 30-day delay hold applies to content that was previously held.
72+
- Reopening a case doesn't restore holds automatically. You must manually turn them back on.
73+
- Deleting a case permanently removes all associated data. This includes hold policies, searches, review sets, and exports. Deleted cases can't be recovered.
74+
75+
To close or delete a case:
76+
77+
1. Go to the **Case settings** page from an eDiscovery case.
78+
1. Select the **Case details** tab.
79+
1. Select **Actions** then choose to close or delete the case.
80+
81+
To delete a case, you must first remove all hold policies, even those that are currently turned off.
82+
83+
Use the **Create and configure a case** interactive guide to walk through case eDiscovery creation and management.
84+
85+

Before you can create cases or start investigations in Microsoft Purview eDiscovery, you need to complete a few setup tasks. These tasks ensure users have the right access and that core tools are available across your tenant.
2+
3+
## Choose the right licensing level
4+
5+
Microsoft Purview eDiscovery includes both **standard** and **premium** features, and the level of access you need depends on how you plan to use the tool. Most organizations using review sets, analytics, or exporting content for legal review will need access to premium eDiscovery features.
6+
7+
- **Standard eDiscovery** features are included with Microsoft 365 and Office 365 E1, E3, and E5 plans. It supports case creation, content search, holds, and basic exports.
8+
- **Premium eDiscovery** features add capabilities like review sets, analytics, optical character recognition (OCR), and better export controls. It requires additional licensing.
9+
10+
Only users whose data is being investigated need Premium eDiscovery licensing. Reviewers and administrators don't need a license unless their own data is part of the case.
11+
12+
You can assign:
13+
14+
- Microsoft 365 E5 or Office 365 E5
15+
- Microsoft 365 E3 with the eDiscovery and Audit add-on
16+
- Office 365 E3 with the eDiscovery and Audit add-on
17+
18+
For more detail on what's included with each level, see [Microsoft Purview eDiscovery features and capabilities](/purview/edisc#features-and-capabilities?azure-portal=true).
19+
20+
### Understand billing for AI data in eDiscovery
21+
22+
Microsoft Purview eDiscovery uses a combination of licensing and pay-as-you-go billing, depending on the type of data being processed.
23+
24+
- **Microsoft 365 data**, including Copilot in Word, Excel, and PowerPoint, is included in your enterprise subscription.
25+
- **Non-Microsoft 365 AI data**, such as Copilot in Microsoft Fabric or connected AI apps, is billed separately based on how it's processed.
26+
27+
You're only billed for storing or exporting non-Microsoft 365 AI data in certain ways, such as:
28+
29+
- Adding this data to a review set
30+
- Exporting it directly from a case
31+
- Exporting it with the Microsoft Graph API
32+
33+
Searches, holds, and case management activities are **not billed** for non-Microsoft 365 AI data.
34+
35+
If your organization collects this type of data, you'll need to configure an Azure subscription for billing. You can also filter out this data from searches if needed.
36+
37+
For more information, including example ItemClasses and exclusion filters, see [Billing for eDiscovery with non-Microsoft 365 AI data](/purview/purview-billing-models#pay-as-you-go-billing-model?azure-portal=true).
38+
39+
## Assign permissions
40+
41+
Access to eDiscovery features is managed through role groups in Microsoft Purview. The two primary roles are:
42+
43+
- **eDiscovery Managers**: Can create and manage their own cases and perform tasks like running searches, placing holds, and reviewing results.
44+
- **eDiscovery Administrators**: Has organization-wide access to all cases and can manage global settings like analytics and guest access.
45+
46+
To assign these roles:
47+
48+
1. Go to the [Microsoft Purview portal](https://purview.microsoft.com/?azure-portal=true), then select **Settings** > **Roles and scopes** > **Role groups**.
49+
1. Select the **eDiscovery Manager** role group, then select **Edit**.
50+
1. Choose users to add to either the **eDiscovery Managers** or **eDiscovery Administrators** role group.
51+
1. Review your settings then save your changes.
52+
53+
To assign these permissions with PowerShell or for more information, see [Assign eDiscovery permissions in the Microsoft Purview portal](/purview/ediscovery-assign-permissions?azure-portal=true).
54+
55+
## Verify that required enterprise apps are enabled
56+
57+
Certain Microsoft 365 apps must be enabled for eDiscovery to work correctly. These apps allow eDiscovery to access the content and features it needs to search and analyze across workloads.
58+
59+
To check that they're enabled:
60+
61+
1. Go to the [Microsoft Entra admin center](https://entra.microsoft.com/?azure-portal=true).
62+
1. Navigate to **Applications** > **Enterprise applications**.
63+
1. Use the search bar to confirm these apps are enabled in your tenant:
64+
65+
| App name | App ID |
66+
|-----|-----|
67+
| ComplianceWorkbenchApp | 92876b03-76a3-4da8-ad6a-0511ffdf8647 |
68+
| MicrosoftPurviewEDiscovery | b26e684c-5068-4120-a679-64a5d2c909d9 |
69+
| Microsoft Exchange Online Protection | 00000007-0000-0ff1-ce00-000000000000 |
70+
| Office365Zoom | 0d38933a-0bbd-41ca-9ebd-28c4b5ba7cb7 |
71+
72+
If these aren't enabled, some views and actions in eDiscovery might not work as expected.
73+
74+
## Configure global eDiscovery settings
75+
76+
Several global settings are available in **Settings** > **eDiscovery** in the Microsoft Purview portal. These settings apply across all eDiscovery cases in the tenant and control things like tagging structures, analytics, and access permissions.
77+
78+
You must be a member of the **eDiscovery Administrators** role group to modify these global settings.
79+
80+
Review and configure these settings to ensure your environment is ready for case management and analysis:
81+
82+
- **Guest access**: Enables external users, such as legal counsel or consultants, to be added to cases as reviewers. You'll need to confirm B2B collaboration is allowed in your Microsoft Entra settings. Once guest access is turned on, you can invite external participants to individual cases.
83+
- **Analytics**: Turns on attorney-client privilege detection. This model helps identify documents that might be privileged based on content and participant analysis. You can also upload a list of attorney email addresses to improve detection accuracy.
84+
- **Tag templates**: Allows reuse of tagging structures across multiple cases and review sets. This helps maintain consistency in how documents are reviewed.
85+
- **Historical versions (preview)**: Enables searching across version history in SharePoint sites. This allows you to surface prior versions of documents that might be relevant to an investigation.
86+
87+
:::image type="content" source="../media/ediscovery-settings.png" alt-text="Screenshot showing the eDiscovery settings page in Microsoft Purview." lightbox="../media/ediscovery-settings.png":::
88+
89+
While optional, these settings can streamline your workflows and improve consistency across cases.
90+
91+
Use the **Configure permissions and global settings** interactive guide to walk through setting up eDiscovery roles and global settings.
