Home Services Revenue Operations Automation

System Architecture

Overview

A home services company was managing leads, appointments, quotes, customer communication, and operational workflows across multiple disconnected systems.

As lead volume increased, manual processes began creating bottlenecks:

  • Leads were not consistently tracked from first contact to sale
  • Customer records had to be entered manually into Jobber
  • Quote follow-up depended on manual outreach
  • Lost opportunities were rarely re-engaged
  • Review requests were inconsistent
  • Staff had limited visibility into pipeline health
  • Automation failures could go unnoticed

To solve these issues, I designed and implemented a fully connected revenue operations system using GoHighLevel, Make.com, and Jobber.

The result was a synchronized lead-to-job lifecycle that automated sales, operations, customer communication, review collection, retention campaigns, and monitoring workflows from a single ecosystem.


Project Objectives

The primary goals of the project were:

  • Centralize lead management
  • Eliminate duplicate data entry
  • Synchronize CRM and operational records
  • Improve quote conversion through structured follow-up
  • Increase review collection consistency
  • Recover lost opportunities automatically
  • Create visibility across the entire customer lifecycle
  • Implement monitoring for workflow failures and stale opportunities

Sales Pipeline Design

A custom 7-stage pipeline was implemented to track every opportunity from initial inquiry through completed work.

  1. New Lead
  2. Contacted
  3. Booked
  4. Quoted
  5. Follow-Up
  6. Won
  7. Lost

This structure created complete visibility across the sales process while enabling automation at every stage.


Solution Components

1. Lead Intake & Client Synchronization

When a new lead entered GoHighLevel, the system automatically:

  • Checked for existing Jobber records
  • Prevented duplicate client creation
  • Created operational customer records
  • Logged synchronization events
  • Triggered sales automations

Outcome

New leads were automatically synchronized into Jobber within seconds while eliminating duplicate data entry.


2. Appointment Scheduling & Booking Automation

After qualification, appointments scheduled in Jobber were automatically synchronized back into GoHighLevel.

The automation handled:

  • Appointment detection
  • Opportunity stage updates
  • Appointment data storage
  • Confirmation workflows
  • Reminder campaigns

Outcome

Sales and operations remained synchronized without requiring manual CRM updates.


3. Automated Quote Follow-Up

A structured 60-day quote nurture system was developed for opportunities that were not immediately approved.

The sequence included:

  • Email follow-ups
  • SMS reminders
  • Ringless voicemail campaigns
  • Educational content
  • Seasonal promotional outreach
  • Reactivation attempts

Outcome

Every quote received consistent follow-up without requiring ongoing manual intervention.


4. Review Collection Workflow

Upon job completion, customers automatically entered a reputation management workflow.

Features included:

  • Review request SMS
  • Review request emails
  • Reminder sequences
  • Customer lifecycle tagging
  • Engagement tracking

Outcome

Review collection became consistent and fully automated.


5. Lost Lead Recovery System

When opportunities were marked as lost or remained inactive, the system initiated long-term recovery campaigns.

The workflow included:

  • Promotional outreach
  • Lifecycle segmentation
  • Re-engagement campaigns
  • Opportunity status synchronization

Outcome

Lost opportunities continued receiving structured follow-up instead of being abandoned.


6. Pipeline Hygiene & Monitoring

To prevent opportunities from becoming stagnant, monitoring workflows continuously evaluated pipeline activity.

The system automatically:

  • Detected inactive opportunities
  • Generated follow-up tasks
  • Alerted responsible staff
  • Maintained pipeline accountability

Outcome

Inactive leads were identified automatically before becoming forgotten opportunities.


7. Error Handling & System Reliability

A centralized monitoring system was implemented to improve automation reliability.

Outcome

Automation failures were routed to a centralized monitoring workflow for faster issue resolution.
