CLS General Functions Importing Records
Importing Records
For the Repository to successfully ingest the information contained on the spreadsheet one must select and use the appropriate content type specific feeds importer. There are two feeds importers, one for the AV content type and the Non-AV content type. These can be found in the repository as "Add Content".
Please do not change any of the settings on the feeds import page. Doing so may result in the import failing or the mapping of information to be incorrect.
The title of the feeds importer object should reflect the title of your file and include the following: MARC code, grant cycle, stream, reason for the import. e.g. car_2018-2019_PT_NominationsIngest.xlsx.
One does not need to write in the "Body" field of the form.
One can find the import template on each feeds importer page on a link labeled "Download a template".
Both feeds importers require the use of UTF-8 encoded .csv file. One may have to resave their file with this specification for the file to be accepted by the feeds importer.
Please note: if you are using an export as the basis of your import all fields exported must be present in the import. Otherwise data will be overwritten as blank. Unfortunately, the feeds importers are not smart enough to recognize that we want to leave unlisted columns alone.
Once the feeds importer object has a title, select your UTF-8 encoded .csv file to import. Then save the form.
Once the webform is saved it will take the user to import preview page and display the mapping of the file to be imported.
If the mapping looks good click on the "Import" tab and click on the "Import" button near the top of the page.
This will start the ingest of your import file and the screen will show a blue progress bar. Once it is complete a green box should appear reporting the number of files you created or updated (which should match the number of unique rows in your spreadsheet).
- If any records failed to import, or an error message happened, immediately contact the Repository Manager for troubleshooting. To facilitate troubleshooting of imports send the following: link to feeds import used, a .xlsx copy of the import file, screenshot of error/failure message, and approximate time the issue occurred.
Double check your mapping by exporting the records using the Titles page.
