Nominations Partner Inquiries

We receive inquiries about the program year-round, and we encourage partners to nominate year-round. These include but are not limited to: requests to participate in the program, people wanting to volunteer for the program, questions about the services we provide, format specific questions (e.g. can you digitize U-matic tapes? Yes!), questions about the structure of the program, questions about how we store preservation masters, etc.

Once a partner submits an application form and CA-R staff confirms their submission. If a new partner or user, the Repository Manager will set them up in the Repository. CA-R staff then emails the main contact the "1 - CA-R - Time to Nominate_email-template" form letter that outlines next steps, along with links to the most current version of our metadata guidelines.

**If a person randomly emails us without applying, send them the same "1 - CA-R - Time to Nominate_email-template" form letter and be sure to include the reminder to submit an application.

To track all inquiries, and gauge general interest, add the person's contact information on the "Inquiries" tab of the Application Form spreadsheet on SharePoint, e.g. California Revealed 2020/2021 Application form.

The "Inquiries" tab will also be used to track partners who have deferred nominations from previous rounds, as well as partners who received cataloging grants. Allison will use the list to send out reminders close to the deadline and to follow up with partners, if needed.

New partners may need more guidance than others. Ideally, the staff person who initially emailed the partner with instructions would be the same person to follow up, for consistency's sake, but any of the staff can assist partners with nominations.

If a partner requests an extension, we may grant one -- up to two weeks -- if more than one partner requests it. New partners are allowed more leniency than seasoned partners. We don't want people to get in the habit of pushing the deadline as it delays our process.
